Document Support Coordinator

Position Summary

Our Los Angeles office has a unique opportunity for a Document Support Coordinator to join their busy litigation team! The Document Support Coordinator will be responsible for providing leadership in the Document Support Department (Word Processing) of an extremely busy litigation practice in order to ensure efficient and smooth operations, meet deadlines, and maintain high quality work product. Provide local assistance with documents, including complex projects. Provide training support to practice assistants, other staff and attorneys. Troubleshoot and provide solutions for document issues.

Essential Functions

  • Create/revise documents in multiple software applications at advanced/expert level, including complex, multi-faceted projects, graphics, and master templates and proofreading.
  • Coordinate workflow, including negotiating and managing deadlines, written and verbal communication with attorneys and staff, and assigning tasks to co-worker(s).
  • Oversee, direct, coach and train co-worker(s), including temps; spot check work product. Also screen temps (phone and resumes), and provide input to hiring of co-worker(s) as necessary (screening resumes and interviews).
  • Troubleshoot and suggest/implement solutions in various applications for staff, administration, local IT and attorneys.
  • Provide on-site training for staff and attorneys, both formal scheduled training and informal training as issues and questions arise.

Requirements

  • 10+ years of legal word processing experience in large, multi-practice law firms, including California litigation, including word processing supervisory and/or management experience
  • California employment and labor litigation experience is a plus.
  • Advanced/Expert skills and knowledge of various software applications, including: MS Office 2010 & 2016, Outlook, Work Site/File Site/DMS (iManage), Best Authority, OmniPage Pro, Nuance PDF Converter Enterprise/Nuance Power PDF Advanced, Workshare Compare (DeltaView), Word Perfect, Express Scribe, Drafting Assistant, etc.
  • Advanced knowledge of correct forms of citation (Harvard Bluebook)
  • Advanced knowledge of BigHand Create templates and Hyperstyles is preferred.
  • Must be able to work independently with minimal oversight
  • MOUS Certifications are a plus.
  • Help Desk, teaching and coaching experience is a plus.
